Job Position: Admin Manager

Job Summary

  1. The Administrative Manager at Beaconhill Smile Clinic plays a critical leadership role in overseeing daily administrative and operational functions.
  2. This role ensures that the clinic runs smoothly, efficiently, and in compliance with company policies, industry standards, and patient care expectations.
  3. The Admin Manager supports clinical operations, supervises non-clinical staff, manages office supplies and vendor relations, and ensures that all administrative processes contribute to excellent patient experience and staff satisfaction.

Job Responsibilities
Administrative Operations:

  1. Oversee front desk, support staff, and facility management to ensure smooth clinic operations.
  2. Implement and monitor administrative systems, procedures, and policies.
  3. Ensure adequate inventory of office supplies and supervise procurement processes.
  4. Maintain a clean, safe, and organised clinic environment in line with health and safety regulations.
  5. Oversee maintenance and repair of equipment and coordinate vendor management.

Human Resources Support:

  1. Support recruitment, onboarding, and training of administrative staff.
  2. Maintain accurate personnel files and attendance records.
  3. Monitor staff performance, punctuality, and adherence to organisational culture.
  4. Coordinate and ensure implementation of disciplinary procedures when necessary.

Patient Experience & Records:

  1. Ensure patients’ non-clinical needs are met efficiently (e.g., scheduling, payment, complaint resolution).
  2. Work with the front desk team to ensure excellent customer service delivery.
  3. Oversee documentation, recordkeeping, and confidentiality of patient data in line with clinic policies.

Financial & Reporting:

  1. Monitor administrative budget and control costs without compromising service quality.
  2. Work with the finance team to reconcile petty cash, vendor payments, and service bills.
  3. Prepare and present weekly/monthly reports to management on operations, performance, and staffing.

Compliance & Quality Control:

  1. Ensure compliance with internal policies, healthcare regulations, and quality standards.
  2. Support audits, inspections, and necessary documentation for licensing or regulatory requirements.

Qualifications and Requirements

  1. Bachelor’s Degree in Business Administration, Healthcare Management, or related field. A Master’s degree is an added advantage.
  2. Minimum of 4 – 5 years of administrative or operations management experience (preferably in a healthcare or customer-facing environment).
  3. Strong organisational and leadership skills with the ability to manage multiple priorities.
  4. Excellent verbal and written communication skills.
  5. Proficient in Microsoft Office Suite and familiar with clinic or hospital management systems.
  6. Knowledge of HR practices, procurement, and facility management.
  7. High level of discretion, professionalism, and problem-solving ability.
