Job Position: Executive Assistant to the CEO
Location: Abuja (FCT)

Job Summary

The Executive Assistant (EA) to the CEO is responsible for providing high-level administrative and strategic support to the CEO, ensuring seamless coordination of daily operations, communications, and executive functions.

The EA will act as a liaison between the CEO and internal/external stakeholders, managing schedules, confidential information, and critical business tasks to enhance executive productivity.

Job Responsibilities

  1. Serve as the primary point of contact between the CEO and internal/external stakeholders.
  2. Coordinate with various departments to ensure smooth executive operations.
  3. Manage the CEO’s calendar, scheduling meetings, appointments, and travel arrangements.
  4. Anticipate the CEO’s needs in advance of meetings, conferences, etc.
  5. Take meeting minutes, track action items, and ensure timely follow-ups.
  6. Have a sense of the issues taking place in the environment and keep the CEO updated
  7. Handle confidential documents and communications with discretion.
  8. Draft, review, and edit emails, reports, and other business correspondence.
  9. Screen and prioritise incoming communications, ensuring urgent matters receive prompt attention.
  10. Conduct research and prepare reports on industry trends, competitors, and business opportunities.
  11. Track action items and ensure timely follow-up on key tasks.
  12. Maintain organised filing systems (digital and physical).
  13. Handle expense reports and budget tracking for the CEO’s office.
  14. Assist in preparing reports and proposals for property development, sales, and acquisitions.
  15. Oversee special projects assigned by the CEO, ensuring timely execution.
  16. Carry out any other task as assigned by the CEO or his designate.

Qualifications & Requirements

  1. Bachelor’s Degree in Business Administration, Management, or a related field.
  2. 5 years of experience in an Executive Assistant or similar role supporting senior executives.
  3. Knowledge of business development is a plus
  4. Excellent written and verbal communication skills.
  5. Strong organisational and time-management abilities.
  6. High level of discretion and professionalism in handling confidential information.
  7. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.
  8. Ability to multitask, work under pressure, and meet tight deadlines.
  9. Strong problem-solving skills and a proactive approach to tasks.
  10. Be versatile
  11. Knowledge of corporate governance and business protocol.
  12. Male candidates preferred.
