Job Description

  1. We are looking for a proactive and detail-oriented Administrative Officer to join our team. The Administrative Officer will be responsible for managing office operations, coordinating administrative activities, and providing support to various departments within the organization.
  2. The ideal candidate should have strong organizational skills, excellent communication abilities, and a minimum of 3 years of relevant work experience.

Job Responsibilities

  1. Manage day-to-day administrative tasks, including answering phones, responding to emails, and handling correspondence.
  2. Coordinate office operations and procedures, ensuring smooth workflow and efficiency.
  3. Maintain office supplies inventory, anticipate needs, and place orders as necessary.
  4. Schedule meetings, appointments, and events, and coordinate travel arrangements for staff.
  5. Assist with the onboarding process for new employees, including preparing paperwork and orientation materials.
  6. Maintain accurate records and databases, and generate reports as needed.
  7. Assist with budget preparation and expense tracking, and process invoices and expense claims.
  8. Assist with HR-related tasks, such as maintaining employee records, tracking leave balances, and coordinating training sessions.
  9. Provide administrative support to various departments, including preparing documents, presentations, and reports.
  10. Handle confidential information with discretion and professionalism.

Job Requirements

  1. Bachelor’s Degree in Business Administration, Office Management, or related field.
  2. Minimum of 3 years of experience in an administrative role, preferably in a corporate environment.
  3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  4. Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  5. Excellent communication skills, both written and verbal.
  6. Attention to detail and accuracy in data entry and record-keeping.
  7. Ability to work independently with minimal supervision and as part of a team.
  8. Problem-solving skills and the ability to handle multiple tasks simultaneously.
  9. Previous experience with office equipment and procedures.
  10. Knowledge of HR policies and procedures is a plus.
