Job Description

  1. We are seeking a motivated and organized individual to join our team as a Customer Service/Administrative Assistant.
  2. In this role, you will play a critical role in providing excellent customer service and supporting various administrative tasks to ensure smooth operations.

Job Responsibilities

  1. Serve as the primary point of contact for customer inquiries, requests, and concerns via phone, email, and in-person interactions.
  2. Respond promptly and professionally to customer queries, resolving issues to the customer’s satisfaction and escalating complex issues as needed.
  3. Process customer orders, returns, exchanges, and refunds accurately and efficiently, maintaining a high level of accuracy and attention to detail.
  4. Coordinate with internal departments, including sales, logistics, and finance, to address customer needs and ensure timely order fulfilment and delivery.
  5. Build and maintain positive relationships with customers, fostering loyalty and repeat business through proactive communication and personalized service.
  6. Perform general administrative tasks, including data entry, filing, and document management, to support the customer services team and maintain accurate records.
  7. Assist with order processing, invoicing, and billing activities, ensuring accuracy and compliance with company policies and procedures.
  8. Generate reports and analyze data to identify trends, patterns, and areas for improvement in customer service operations.
  9. Coordinate logistics for meetings, events, and customer visits, including scheduling appointments, arranging travel, and preparing meeting materials.
  10. Assist with other ad-hoc administrative projects and tasks as assigned by management to support departmental goals and objectives.

Job Requirements

  1. Bachelor’s Degree in any related field.
  2. Previous experience in customer service, administrative support, or related field is desirable.
  3. Strong communication and interpersonal skills, with the ability to interact effectively with customers and colleagues.
  4. Excellent organizational and multitasking abilities, with keen attention to detail and the ability to prioritize tasks effectively.
  5. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
  6. Positive attitude, team player mentality, and willingness to learn and adapt in a dynamic environment.
  7. Customer-focused mindset, with a commitment to delivering exceptional service and building long-term relationships.
