Job Position: Customer Service Officer

Job Description
Patient Communication:

  1. Keep front desk tidy and presentable with all necessary material (pens, forms, paper etc.)
  2. Greet and welcome guests
  3. Respond to inquiries promptly, providing accurate information.
  4. Communicate effectively with patients to enhance their experience
  5. Direct visitors to appropriate person and office
  6. Answer and screen all incoming calls and redirect them or keep messages

Appointment and Scheduling:

  1. Maintain relationships with both existing & potential customers
  2. Effectively schedule appointments using our advanced software
  3. Coordinate with staff to optimize patient flow
  4. Record partner appointments in our google sheet
  5. Give weekly report of partner activities.

Issue Resolution:

  1. Address and resolve patient concerns with empathy and efficiency.
  2. Collaborate with the medical team to ensure comprehensive solutions.
  3. Engage in customer retention strategies
  4. Help in day to day decision making to come up policies as it relates to customer service
  5. Serve as middle person between the customers and business department
  6. Helps resolve customer issues and escalate when appropriate
  7. Listen and respond to customers’ needs and concerns
  8. Provide information about products and services
  9. Book tests, determine charges, and oversee billing or payments
  10. Review or make changes to customer accounts
  11. Take up other duties as assigned

Job Responsibilities

  1. Provide weekly reports to the Human Resource Manager.
  2. Submit Visitors logs and attendance report weekly to the Human Resource Manager
  3. Provide basic and accurate information in person and Via Phone or Email
  4. Maintain office security by following safety procedures and controlling access via the reception desk (monitor log book)
  5. Ability to Identify HMO and NHIS patients and register diagnosis on respective portals
  6. Support the admin department and other departments
  7. Provide prompt and courteous service: both on the phone and in person.

Job Requirements

  1. Minimum of 3 years customer service experience in healthcare.
  2. Medical background is required.

Skills:
Communication:

  1. Excellent verbal and written communication skills.
  2. Ability to convey complex medical information in a clear manner.

Technology Proficiency:

  1. Familiarity with hospital management software.
  2. Competence in basic office tools for efficient task management.

Confidentiality:

  1. Uphold strict confidentiality in handling patient information.
  2. Adhere to privacy regulations and maintain data security.

Problem-Solving:

  1. Proactive approach to address challenges and find solutions.
  2. Maintain composure in high-pressure situations.
