Job Position: Document Controller
Location: Ode-Remo, Ogun

Job Summary

  1. We are seeking a meticulous, highly organised, and detail-oriented Document Controller to join our team at a leading real estate development firm.
  2. The ideal candidate will be responsible for managing, tracking, and maintaining all technical documentation and drawings from consultants, contractors, and internal teams across multiple real estate projects.
  3. This role is crucial in ensuring that all project documentation is accurate, up-to-date, and easily accessible to stakeholders.

Job Responsibilities
Document Management:

  1. Receive, register, file, and distribute all incoming and outgoing project documentation, including architectural, structural, MEP, and landscape drawings.
  2. Maintain a comprehensive and well-organised document control system (physical and electronic) by company standards and protocols.

Drawing Tracking:

  1. Maintain a central register for all design drawings, ensuring proper version control and timely updates from all consultants and design teams.
  2. Track and log drawing revisions, submission dates, and approvals.

Consultant & Contractor Coordination:

  1. Act as the primary point of contact for receiving documentation from consultants, contractors, and third-party vendors.
  2. Ensure the timely collection and distribution of documentation and drawing submittals.

Review & Compliance:

  1. Verify document formatting, versioning, and numbering align with project and company standards.
  2. Support QA/QC teams by ensuring that only approved documents are used for construction or review.

Filing & Retrieval:

  1. Ensure systematic storage and easy retrieval of archived documents.
  2. Maintain the confidentiality and integrity of sensitive documentation.

Reporting:

  1. Generate regular reports and summaries on document status, submittals, approvals, and outstanding items.
  2. Assist the project manager with document-related queries and audits.

System Management:

  1. Use and maintain document control software (e.g., Aconex, Procore, SharePoint, or company-specific platforms).
  2. Provide basic support and training to team members on document control procedures and systems.

Qualifications & Skills

  1. Bachelor’s Degree or diploma in administration, construction management, engineering, or a related field.
  2. Minimum of 3 years of experience in a document control role, preferably within the construction or real estate development industry.
  3. Strong understanding of construction documentation, drawings, and document versioning.
  4. Proficient in MS Office Suite (Excel, Word, Outlook), and document management systems (DMS).
  5. Knowledge of common document control platforms like Aconex, Procore, or similar is an advantage.
  6. Excellent attention to detail and organisational skills.
  7. Strong communication skills and the ability to liaise with multiple stakeholders.
  8. Ability to work under pressure, manage priorities, and meet deadlines.
  9. Discretion and professionalism in handling confidential information.
