Job Description
- We are seeking a highly organized and proactive Executive Assistant and Administrator to support our executive team and oversee administrative functions within our organization.
- This role requires a versatile individual who can effectively manage a wide range of tasks and responsibilities to ensure the smooth operation of the office and provide vital support to executives.
- This role might have the possibility of work from home with occasional onsite meetings.
- Ability to work within different time zones.

Job Responsibilities
Executive Assistance:
- Calendar Management: Effectively manage the EXECUTIVE’s complex and ever-changing calendar, scheduling meetings, appointments, and travel arrangements. Anticipate scheduling conflicts and make proactive adjustments as needed.
- Email and Communication: Monitor and manage the EXECUTIVE’s email inbox, prioritize messages, draft responses, and ensure that critical matters are addressed promptly. Handle phone calls and inquiries professionally and efficiently.
- Travel Arrangements: Arrange all travel logistics for the EXECUTIVE, including flights, accommodations, transportation, and itineraries. Ensure seamless travel experiences, considering time zones and potential delays.
- Meeting Preparation: Prepare agendas, materials, and briefings for meetings attended by the EXECUTIVE. Take minutes and follow up on action items as required.
- Document Management: Organize and maintain electronic and physical files, ensuring documents are accessible and confidential information is protected.
- Gatekeeping: Act as the primary point of contact between the EXECUTIVE and internal/external stakeholders, exercising discretion and professionalism in all interactions.
- Project Support: Assist the EXECUTIVE in managing special projects and initiatives, conducting research, and coordinating activities with other team members.
- Expense Management: Handle expense reports, receipts, and reimbursements for the EXECUTIVE, maintaining accurate records.
- Personal Assistance: Provide personal support to the EXECUTIVE as needed, including managing personal appointments, errands, and family-related matters.
- 24/7 Availability: Be available to provide support outside of regular business hours as required, including evenings and weekends, to accommodate the EXECUTIVE’s needs.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and always maintain a high level of professionalism.
Administrative Duties:
- Oversee general office administration, including maintaining office supplies, equipment, and facilities.
- Coordinate and schedule team meetings and events, ensuring efficient communication and follow-up.
- Manage incoming and outgoing mail, packages, and courier services.
- Maintain electronic and physical filing systems, ensuring documents are organized and accessible.
- Assist in the onboarding process for new employees, including preparing necessary paperwork and coordinating orientations.
- Collaborate with HR and finance departments to manage payroll, expenses, and benefits administration.
- Handle confidential and sensitive information with discretion and professionalism.
- Assist with special projects and tasks as assigned by executives.
Job Requirements
- Bachelor’s Degree in Business Administration, Management, or a related field (preferred but not required).
- 1 – 6 years relevant work experience.
- Proven experience as an executive assistant, administrative assistant, or in a similar role.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
- Ability to multitask and prioritize tasks effectively.
- Exceptional attention to detail and accuracy.
- Professional demeanor and strong interpersonal skills.
- Ability to handle sensitive information with confidentiality and discretion.
- Problem-solving skills and the ability to work independently.
- Flexibility and adaptability to changing priorities and tasks.
- Knowledge of office equipment and procedures.
Salary
N100,000 – N200,000 Monthly.
