Job Title: Executive Assistant to the CEO
Job Location: Lagos Mainland, Lagos
Job Description
- The selected candidate would be responsible for providing high level extensive professional and administrative support to the Chief Executive Officer (CEO) on all projects.
- This job requires effective organizational and strategic planning to ensure the smooth and effective running of the CEO’s office.
- The Executive Assistant serves as the primary point of contact for internal and external communication on all matters pertaining to the Office of the CEO. The Executive Assistant also serves as a liaison to the board of directors and senior management teams.
Job Responsibilities
- Provide technical support to the Chief Executive Officer (CEO)
- Prepare materials and presentations for board meetings and business development meetings
- Provide transaction support to the CEO on active on all projects by the company
- Maintain accurate records, documents, and report any breach in the system
- Support the CEO by providing strategic input on project analysis and reporting
- Work closely with the CEO during strategic planning and budget planning process
- Work closely with the CEO to develop and collate technical reports and presentations
- Prepare investment committee materials, internal memoranda and other documents required at the C-level
- Develop and execute research plans and activities for the company
- Attend C-level meetings with the CEO
- Execute clerical and general office duties such as setting up filing systems, data entry, typing, copying, ordering office supplies, and other administrative tasks for special projects as requested
- Act as the key liaison person to the CEO for internal and external stakeholders
- Coordinate and/or leads ad-hoc projects, as and when requested/required
- Provide executive administrative support to the Chief Executive Officer (CEO)
- Research and prepare speeches and presentations in a variety of formats to support the activities of the CEO
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company.
- Coordinate meeting logistics and deliverables such as handouts, and make travel arrangements for the project management team
- Manage confidential and sensitive information on behalf of the CEO by ensuring that all work-related information is held in the strictest confidence. This includes, but is not limited to; all communications, strategic information, employee specific personnel action, information and personal details relating to the CEO
- Liaise with other employees on internal and external projects as required and directed by the CEO.
Senior Management Relationship:
- Participate as an adjunct member of the Executive Team including assisting in scheduling meetings, attending all meetings and taking meeting minutes.
- Assist in coordinating the agenda of senior management team meetings and off-sites, and all[1]staff meetings
- Facilitates cross-divisional coordination of travel and outreach plans
Job Requirements
Education:
- B.Arts (Eng.) from a UK/USA or Class ‘A’ Nigerian University.
- A Master’s Degree holder with the qualification above is mostly preferred.
Experience:
- 4 – 6 years work experience in related field.
Knowledge Requirements:
- Knowledge of the print media, and construction industry;
- Proficient in the use of MS Office tools (Word, Excel, PowerPoint)
- Organizational and administrative knowledge
- Ability to work with personnel at all levels
- Ability to thrive in a fast-paced environment
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
