Job Position: Executive Assistant to the CEO

Job Description
- We are looking to engage a passionate and self-driven individual to provide effective, efficient and first class secretarial and administrative support to the Chief Executive Officer.
Job Responsibilities
- Oversee the CEO’s office activities and services and ensure 100% compliance with company standards and policies.
- Plan and oversee all the administrative activities of the CEO to ensure high quality and timely fulfillment of the CEO’s instructions.
- Receiving messages for and on behalf of the CEO & planning his day-to-day activities.
- Maintain in-office calendar, keeping track of schedules/appointments.
- Provide dedicated support at the highest level in the organization, dealing with often highly sensitive and confidential documents and matters.
- Review and collate reports results to assist in appropriate management decision making.
- Prepare Board reports with respect to the organization’s activities and achievements on a monthly/quarterly/yearly basis.
- Draft routine correspondence which is highly confidential in nature to ensure it complies with the corporate approved standards and formats.
- Maintains an up-to-date database, software and filing of information useful for management decisions.
- Organize internal and external meetings including arranging room bookings, equipment and refreshments needs.
- Evaluates invitations (internal and external) within the scope of diary management and takes appropriate action in respect of responding on behalf of the CEO.
- Manages personal diary needs of the CEO, including special events.
- Represent CEO’s office in corporate meetings/events, in the most professional and confidential manner.
Job Requirements
- A good First Degree in any course.
- 6-10 years of professional level experience in a similar role.
- Relevant experience in the oil and gas industry is desirable.
- Team orientation and able to work with all levels within the organization and external network.
- Excellent interpersonal skills (negotiation, conflict resolution, customer service, complaints management and stakeholder management)
- Excellent verbal and written communication skills.
- Ability to prepare a wide range of documents (reports, submissions, minutes, etc.) and effectively interact with people of diverse backgrounds.
