Job Position: Executive Assistant
Job Location: Victoria Island, Lagos
Job Description
- We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers.
- As the Executive Assistant to the CEO and COO, you will be responsible for providing high-level administrative support and ensuring the efficient operation of the CEO and COO’s office.
Job Responsibilities
Administrative Support:
- Manage the executive’s complex calendar, appointments, and travel arrangements.
- Prepare and organize documents, reports, and presentations for meetings and business plans.
- Handle confidential and sensitive information with utmost discretion.
Communication and Presentation:
- Serve as a primary point of contact for internal and external communication on behalf of the executive(s).
- Draft and edit emails, letters, and other correspondence as needed.
- Assist in the creation of high-quality presentations and reports for both internal and external audiences.
Business Operations:
- Collaborate with the executive(s)to develop, implement, and monitor business plans and strategies.
- Ensure seamless communication and coordination between the executive(s)and various departments.
- Assist in project management and follow-up on action items from meetings.
Technology and Time Management:
- Utilize a range of digital tools and software for efficient time management and productivity.
- Help the executive(s)stay organized and productive by managing tasks, emails, and schedules.
Research and Information Gathering:
- Conduct research and gather data on industry trends, competitors, and market insights.
- Provide the executive(s)with well-structured information to support decision-making.
Event Coordination:
- Assist in planning and organizing corporate events, conferences, and meetings.
- Coordinate logistics, invitations, and materials for these events.
Exposure and Networking:
- Facilitate the executive’s participation in key industry events, conferences, and networking opportunities.
- Build and maintain relationships with industry professionals on behalf of the executive(s).
- Manage information flow in a timely and accurate manner
- Rack daily expenses and prepare weekly, monthly or quarterly reports for the executives
- Format information for internal and external communication – memos, emails, presentations, reports
- Take minutes during meetings
- Draft, review and send communications on behalf of company executive(s)
- Prioritize emails and respond when necessary
Job Requirements
- Bachelor’s Degree in Business Administration, Management, or a related field with a minimum of Second Class honour degree (Upper division)
- Entry level experience
- Proven experience as an Executive Assistant or in a similar role, preferably supporting senior executives in a fast-paced environment.
- Exceptional communication skills, both written and verbal. Must be fluent in spoken and written English.
- Proficiency in creating professional presentations and reports using tools such as MS Office, Google Suite, or similar software.
- Strong research skills
- Ability to work independently, prioritize tasks, and meet deadlines.
- Highly organized with excellent attention to detail.
- Discretion and the ability to handle sensitive information with confidentiality.
- Exposure to marketing and industry-related concepts is advantageous.
- Must be a resident of Lagos, Nigeria.
- Available for immediate employment.
