Job Description

  • We are seeking a highly organised, detail-oriented, and proactive Executive and Personal Assistant to provide comprehensive support for a busy individual both in their personal life and in the office.
  • This hybrid role combines the responsibilities of an Executive Assistant and a Personal Assistant.
  • The ideal candidate will manage various aspects of the individual’s personal and professional life while also assisting with office organisation, administrative tasks, and meeting coordination.

Job Responsibilities
Personal Assistant Responsibilities:

  • Assist with daily planning and organisation, including creating to-do lists, prioritizing tasks, and meeting deadlines.
  • Manage and execute personal tasks such as shopping, running errands, and making appointments.
  • Maintain an organized filing system for personal and professional documents.
  • Manage and track budgets and expenses, ensuring financial records are up-to-date and accurate.
  • Coordinate and attend meetings on the individual’s behalf when required, taking detailed notes and providing thorough follow-up.
  • Serve as the individual’s primary point of contact, handling incoming calls, messages, and emails with discretion and professionalism.
  • Provide reminders for important dates, appointments, and events.
  • Anticipate and proactively address the individual’s needs, demonstrating high initiative, problem-solving skills, and creativity.
  • Maintain the individual’s confidentiality and privacy at all times.
  • Arrange and coordinate travel plans, including booking flights, accommodations, and transportation, ensuring a smooth and hassle-free experience.
  • Research and suggest creative ideas for leisure activities, events, or experiences tailored to the individual’s preferences and interests.
  • Assist with personal projects, such as planning events or organizing special occasions, demonstrating resourcefulness and creativity.

Executive Assistant and Office Administration Responsibilities:

  • Organise and maintain office documents, both physical and electronic, ensuring easy retrieval and accessibility.
  • Schedule and attend general meetings in the office, taking minutes and providing administrative support as needed.
  • Assist with general office tasks, such as managing supplies, coordinating mail and packages, and maintaining office equipment.
  • Collaborate with other team members to ensure efficient office operations and a positive work environment.
