Job Position: Finance Assistant

Job Description

  • The Finance Assistant will assist the Finance Officer/Unit with all financial matters related to the MAG Nigeria program including administration and filing of all financial records and documents.

Job Responsibilities

  1. Responsible for the accurate recording of financial transactions, expenditures, and advances in the MAG cashbook on a daily basis.
  2. Prepare bank reconciliation statements for all MAG accounts.
  3. Ensure that all supporting documentation is reconciled (with receipts, bills, boarding passes, bank notifications e.t.c), stamped PAID, filed, serialized, scanned, and archived as back-ups on the server/teams.
  4. Manage the office imprest system. Maintain adequate cash balance in the office, conduct weekly cash counts, and report any discrepancies to the Finance Officer (FO) immediately.
  5. Monitor staff advances to ensure they are reconciled on a timely basis.
  6. Ensure time sheets for all staff are completed with appropriate allocation percentages through regular reconciliation meetings with the appropriate Human Resource personnel.
  7. Ensure that staff payslips are signed and archived on a monthly basis.
  8. Assist the Finance Officer in ensuring that accurate and complete accounting and relevant records are maintained and filed in good order and easily retrievable.
  9. Assist the FO to ensure that payments are processed in line with financial and procurement policies and procedures.
  10. Assist the FO with compliance visits when the need arises.
  11. Provide support to all donor and internal audits in coordination with the FO. This will include the collation of documentation and provision of clarity to the FO when required.
  12. Any other administrative task as required by the Finance Department.

Job Requirements

  1. First Degree in Accounting or related field.
  2. At least two (2) years of previous experience, working in a finance/administrative role (NGO or other international agency experience is an added advantage).
  3. Previous experience in bookkeeping/accounting and the use of spreadsheets.
  4. Excellent attention to detail.
  5. Previous experience in keeping good administrative records.
  6. Good written and spoken English.
  7. Good prioritization skills and ability to work calmly under pressure.
  8. Good communication and interpersonal skills.
  9. Self-motivated and flexible approach to work.
  10. Interest in and commitment to MAG’s humanitarian mandate.
