Job Position: Front Desk Assistant

Job Location: Ogba, Ikeja – Lagos

Job Description

  1. The Front Desk Assistant serves as the first point of contact for visitors, clients, and employees.
  2. This role plays a crucial part in providing excellent customer service and maintaining a professional and welcoming atmosphere at the front desk.
  3. The Front Desk Assistant performs various administrative and clerical tasks to ensure the smooth functioning of the office or establishment.

Job Responsibilities

  1. Greeting and Welcoming Visitors: The Front Desk Assistant is responsible for greeting and welcoming visitors, clients, and employees with a friendly and professional demeanor. They ensure that each person feels valued and attended to promptly.
  2. Answering Phone Calls: Handling incoming calls is a significant aspect of the role. The assistant must answer and direct calls to the appropriate personnel or department, take messages accurately, and provide relevant information to callers when needed.
  3. Managing Incoming and Outgoing Mail: The Front Desk Assistant handles incoming and outgoing mail and packages. This includes sorting and distributing mail to the respective recipients and arranging for courier services as required.
  4. Scheduling and Appointment Management: The assistant may be responsible for scheduling appointments for clients or employees, maintaining a calendar, and sending reminders to ensure all appointments are promptly attended.
  5. Administrative Support: Assisting with administrative tasks such as data entry, filing, and document preparation may be part of the job. The assistant may also help with maintaining office supplies and equipment.
  6. Registering and Signing In Guests: For establishments that require visitor registration or sign-in, the Front Desk Assistant manages this process, ensuring that all necessary information is recorded accurately and adhering to security protocols.
  7. Customer Service: Providing exceptional customer service is vital in this role. The assistant should be knowledgeable about the organization’s services or products and be able to assist visitors with their inquiries or direct them to the appropriate department.
  8. Handling Security Procedures: Front Desk Assistants may be responsible for monitoring and implementing security procedures, such as issuing visitor badges or providing access control to the premises.
  9. Handling Queries and Resolving Issues: The assistant must be resourceful in addressing inquiries, concerns, or complaints from visitors or employees promptly. If unable to resolve a problem, they escalate it to the appropriate personnel.
  10. Multitasking and Time Management: Front Desk Assistants often encounter multiple tasks simultaneously. Effective time management and the ability to prioritize tasks efficiently are crucial to ensure the smooth running of the front desk operations.

Job Requirements

  1. High School Diploma or equivalent.
  2. Excellent verbal and written communication skills.
  3. Strong interpersonal skills and a customer-centric approach.
  4. Proficiency in basic computer applications such as word processing and email.
  5. Organizational skills and attention to detail.
  6. Ability to handle challenging situations with composure and professionalism.
  7. Knowledge of office equipment like printers, copiers, and phone systems is a plus.
  8. Prior experience in a front desk or customer service role is desirable but not always required.
