Job Position: HR & Admin Officer
Location: Borno

Job Purpose
HR:

  1. The Officer will play a critical role in managing the human capital of Grow Strong Foundation.
  2. This includes recruitment, onboarding, performance management, staff welfare, compliance with labour laws, and fostering a positive work culture.
  3. The Officer ensures that HR policies and practices align with the organisation’s mission and donor requirements.

Administrative:

  1. The Officer will ensure the smooth operation of Grow Strong Foundation’s office and support functions by managing administrative systems, coordinating logistics, maintaining records, and assisting with internal communications. This role is essential to maintaining organisational efficiency and supporting program delivery.

Job Responsibilities
Recruitment & Onboarding:

  1. Coordinate recruitment processes, including job postings, shortlisting, interviews, and reference checks
  2. Prepare employment contracts and facilitate the onboarding of new staff
  3. Maintain updated job descriptions and organisational charts

Staff Management:

  1. Monitor staff attendance, leave, and timesheets
  2. Manage employee records and ensure confidentiality
  3. Support performance appraisal processes and staff development plans

Policy & Compliance:

  1. Ensure HR policies are up-to-date and compliant with Nigerian labour laws and donor regulations
  2. Support internal audits and donor reviews related to HR
  3. Address employee grievances and mediate conflict resolution

Training & Development:

  1. Identify training needs and coordinate capacity-building initiatives
  2. Organise workshops and staff development programs

Payroll & Benefits:

  1. Liaise with the finance team to ensure accurate payroll processing
  2. Administer staff benefits, including health insurance, pensions, and leave entitlements

Culture & Engagement:

  1. Promote a positive and inclusive work environment
  2. Organise team-building activities and staff engagement initiatives

Office Administration:

  1. Oversee day-to-day office operations and ensure a clean, organised, and functional workspace
  2. Manage office supplies, equipment, and inventory
  3. Maintain filing systems (physical and digital) for easy retrieval and compliance
  4. Coordinate repairs, maintenance, and service contracts for office infrastructure

Documentation & Records:

  1. Prepare and manage correspondence, reports, and official documents
  2. Maintain accurate records of staff attendance, leave, and timesheets
  3. Support archiving and document control for audits and donor reporting

Compliance & Support:

  1. Ensure administrative procedures comply with organisational policies and donor requirements
  2. Support HR and finance teams with documentation and filing
  3. Assist with the onboarding of new staff and orientation logistics

 Essential Skills and Qualifications

  1. Bachelor’s Degree in Human Resource Management, Business Administration, or related field
  2. Minimum of 3 years’ experience in HR, preferably in the NGO or development sector
  3. Knowledge of Nigerian labour laws and HR best practices
  4. Familiarity with donor HR compliance (e.g., USAID, UN, EU)
  5. Proficiency in Microsoft Office and HR software
  6. Strong interpersonal, communication, and organisational skills
  7. High level of integrity, discretion, and professionalism
  8. Strong organisational and time management skills
  9. Excellent written and verbal communication skills
  10. Ability to handle confidential information with discretion
