Job Position: Administrative / HR Officer

Job Location: Lagos

Job Description

  • You will play a pivotal role in ensuring the smooth functioning of daily operations, possessing a keen eye for detail and exceptional organizational skills as well as assisting the Head of HR in some HR functions.

Job Responsibilities
Office Management:

  1. Oversee the day-to-day operations of the office facility.
  2. Ensure a clean, safe, and well-maintained working environment.
  3. Coordinate maintenance and repair activities, liaising with external service providers when necessary.
  4. Manage office supplies and inventory, ensuring adequate stock levels.

Administrative Support:

  1. Provide administrative support to various departments within the organization.
  2. Manage and organize files, records, and documents.
  3. Coordinate meetings and appointments, and assist in scheduling.
  4. Handle incoming calls, emails, and correspondence in a professional manner.

Vendor Management:

  1. Liaise with vendors and suppliers to ensure timely delivery of services and goods.
  2. Negotiate contracts and agreements for facility-related services.
  3. Monitor vendor performance and address any issues that may arise.

Event Coordination:

  1. Assist in planning and organizing company events, meetings, and conferences.
  2. Coordinate logistics for internal and external events.

Budget Oversight:

  1. Assist in monitoring and managing the facility budget.
  2. Identify cost-saving opportunities without compromising on quality.

Human Resources:

  1. Assist in the recruitment and onboarding process, including posting job openings, screening resumes, and coordinating interviews.
  2. Manage employee records and HR databases to ensure accuracy and compliance.
  3. Support the development and implementation of HR policies and procedures.

Employee Relations:

  1. Act as a point of contact for employee queries and concerns.
  2. Assist in fostering a positive work environment and employee engagement initiatives.
  3. Support in the resolution of employee relations issues and conflicts.

Compliance and Documentation:

  1. Ensure compliance with relevant labor laws and regulations.
  2. Maintain accurate and up-to-date HR documentation, including contracts, policies, and employee records.

Training and Development:

  1. Coordinate training programs and workshops for employees.
  2. Assist in identifying employee development needs and opportunities.

Job Requirements

  1. Bachelor’s Degree in Business Administration, Facility Management, or a related field.
  2. Minimum of 1 year relevant experience in administrative and HR roles.
  3. Previous experience In this role is essential
  4. Strong organizational and multitasking abilities.
  5. Excellent communication and interpersonal skills.
  6. Proficient in Microsoft Office Suite.
  7. Attention to detail and problem-solving skills.
  8. Proactive and able to work independently.
  9. Ability to handle confidential information with discretion.
  10. Team player with a positive attitude.
