Job Position: Senior Executive Assistant

Job  Description

  1. As a rapidly expanding organization, they are seeking a dedicated, highly organized and proactive Executive Assistant to support the General Managing Director in managing daily operations and ensuring efficient coordination.
  2. The successful candidate will possess excellent organizational skills, exceptional attention to detail, and the ability to prioritize tasks effectively. Availability to start: as soon as possible

Job Responsibilities

  1. Maintain the CEO calendar, including scheduling appointments, meetings, and conferences.
  2. Maintain all hard copy and digital records for ongoing executive projects of the executive team.
  3. Prioritize and manage conflicting demands, ensuring the Director’s schedule is optimized for maximum productivity.
  4. Send meeting reminders and coordinate logistics for internal and external meetings.
  5. Handle all incoming and outgoing correspondence, including emails, letters, and phone calls, in a professional and efficient manner.
  6. Draft, proofread, and edit documents, presentations, and reports as required.
  7. Act as a liaison between the CEO and internal/external stakeholders, maintaining strong lines of communication.
  8. Arrange travel accommodations, including flights, accommodation, and ground transportation, ensuring a seamless travel experience.
  9. Prepare detailed itineraries and travel packs for the CEO business trips.
  10. Monitor travel expenses and process expense reports in a timely manner.
  11. Organize and coordinate meetings, conferences, and events, both internally and externally.
  12. Prepare meeting agendas, collate and distribute necessary documents, and record meeting minutes.
  13. Ensure meeting rooms are set up with required equipment and supplies.
  14. Handle sensitive and confidential information with the utmost discretion and professionalism.
  15. Maintain a systematic and organized filing system, both physical and electronic, ensuring all documents are easily accessible.
  16. Build and maintain positive working relationships with internal and external stakeholders, including staff, clients, and partners.
  17. Act as a point of contact for the General Managing Director, efficiently handling inquiries and resolving issues where appropriate.

Job Requirements

  1. Bachelor’s Degree in Business Administration, Communications, or a related field (preferred).
  2. Minimum of 4 years Proven experience as a Personal Assistant, Executive Assistant, or similar role, supporting high-level executives.
  3. Exceptional organizational skills, with the ability to manage multiple tasks and prioritize effectively.
  4. Strong verbal and written communication skills, with a keen eye for detail.
  5. Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  6. Demonstrated ability to maintain confidentiality and handle sensitive information.
  7. Excellent time management skills, with the ability to work under pressure and meet tight deadlines.
  8. Proactive and resourceful, with a problem-solving mindset.
  9. Flexibility to work outside regular business hours, if necessary.
  10. Professional demeanor, with strong interpersonal and relationship-building skills.

N200,000 – N250,000 / month.
